Using your online appointment schedule for commercial purposes

This page describes a number of options in SuperSaaS that are particularly useful if you are using the schedule for commercial purposes. It covers how to increase the visibility of your schedule, keep clients informed, reduce no-shows, and keep track of bookings.

If you are just getting started, focus on increasing the visibility of your schedule and collecting online payment first. These tend to have the biggest impact on bookings.

Below you will find:

Increase visibility of your schedule

When you integrate your schedule into your website, where you place your schedule affects how many visitors will find and actually use it. A booking page on your contact page is easy to miss. A dedicated page with a clear label or button like online bookings or make reservation is much easier to find. Adding a Book Now button on multiple pages of your website increases the chance that a visitor will complete a booking. You can generate a button that fits your site style using the button generator.

The color, text, position, and format of a call-to-action button can affect conversion rates, so it can be worth testing different variations. You can also include a link to your Facebook or X page in your booking confirmation messages. Go to Configure > Layout to add links to confirmation emails (see customize notifications and reminders for all available options).

Stay in touch with your clients

When users log in to book with you, all user details are stored under User Management. Go to Supervise > Download to download client details in CSV format, then import them into a mailing tool such as Mailchimp to send newsletters or offers. To automate this, you can use a webhook to push client data to your mailing tool whenever a booking is made. Including a Book Now button in your emails gives clients a direct path back to your schedule.

Reduce no-shows

SuperSaaS can send automated email or SMS reminders to clients before their appointment. You can configure the timing and content of these messages via Configure > Process. For examples of how to connect sending of reminders and follow-ups to other tools, see this blog post on connecting reminders to other apps.

Collect online payment

SuperSaaS supports online payment via providers such as PayPal and Stripe. When payment is required as part of the booking flow, clients pay at the time of booking without any manual follow-up required. To set up online payment, see the payment section.

Setting up online payment

If you prefer to invoice clients after the service, see invoicing and manual payments. For day-to-day payment management, including handling exceptions and processing refunds see managing payments.

Monitor booking data and customize reports

Go to Supervise > Reporting to view a summary of your bookings. To analyze booking data in more detail, go to Supervise > Download to export bookings in CSV, XLSX, XLS, or XML format for use in Excel, Numbers, or Google Sheets. Bookings can also be downloaded as an HTML file for printing, or as an ICS file to import into a calendar application.
